EXHIBITOR BADGES

 

All exhibitors need to display their badge on show days to gain admittance to the show floor. 

Exhibitors are given the minimum number of badges allotted to their booth automatically (see chart below)  with no form needing to be filled out. If the number of badges needed for your staff doesn't exceed the amount shown below, then simply have your staff check in at the Show Office before or during the show to receive their badge(s).

Please note that badges do not display exhibitor or company names on them but there is space for your business card.

100 square feet=6 free badges
200 square feet=8 free badges
300 square feet=10 free badges
400 square feet=12 free badges

Each additional 100 square feet gets an additional 2 badges.

If you need more than the number of badges allotted to your booth, please fill out the Extra Exhibitor Badge Form to purchase, and send to Zoe no later than December 19, 2025.

DO NOT LEAVE YOUR BADGES IN YOUR BOOTH as you need them to gain access to the show floor. Replacement badges are $10 each if lost, left at home, left in booth, a dog ate them etc. 


BOOTH GUIDELINES

Review the booth guidelines to make sure your booth is designed to meet Marketplace Events and Calgary Stampede Event Services' standards:


Please note that the Calgary Fire Department requires all materials (sheds, temporary structures including signage in and hung above a booth) must be approved for indoor use and have a permanently attached label indicating conformance to CAN/ULC–S109, “Flame Tests of Flame-Resistant Fabrics and Films.”


BOOTH AWARDS & TIPS!

Each year, the Calgary Fall Home Show awards six exhibitors, each in a different category, for standing out from their competition and peers. The categories for the booth awards are listed below, accompanied by the criteria our panel of judges look for when selecting the winning booth and company. We value all of the hard work our exhibitors put in to create their displays and design their spaces and award those who go above and beyond to put their best foot forward.

 

Best In Show

Regardless of size, this booth displays the most unique display and design of any other in the show.

Best Large Space

This award goes out to the best booth that is 400 square feet or larger.

Best Medium Space

This award goes out to the best booth that is 200 - 399 square feet.

Best Small Space

This award goes out to the best booth that is 100 - 199 square feet.

Rookie of the Year

This award goes out to the exhibitor who is new to the show and built an award-worthy booth.

Things we look for:

• Meeting basic booth standards/expectations – height, signage, flooring, layout, etc 

• Full floor covering (no subfloor, concrete or terracover exposed) and quality of floor covering 

• Hard wall display (not mandatory but helps in the presentation of a professional display)

• Signage and signage quality

• No exposed studs or wiring (inside and outside booth)

• Paint and paint quality – taking the time to edge, tape seams, make the paint job look professional

• Wall quality – no visible damage

• Creativity and thought evident in booth design

Any exhibitor that would like to sample any food or beverage items (coffee, snacks etc) must fill out Calgary Stampede's Sample form. Click HERE for the form. Please send the completed form to eventservices@calgarystampede.com and cc zoew@mpeshows.com. The form must be submitted no later than December 19, 2025.

Booth Bites Program 

Menus will be available on site at the Calgary Stampede Order Desk or through the Exhibitor Concierge team who will present on the floor during move-in and for the duration of the event. Payment (credit/debit) will be required when placing the order. 

Exhibitors will have to place their orders at least 2 hours before the meal service daily. It will allow time for the kitchen team to prepare their meals, make the packages and make sure that everything is displayed perfectly for when the food is delivered to the exhibitors. 

The Exhibitor Concierge team will provide the delivery of every “lunch box” directly to the exhibitors’ booths. These customized deliveries will be available at 2 different times options for every meal. This will allow exhibitors to take their break at their convenience, according to the hours of operation of the event.

The Calgary Home Shows partners with a show decorator who has furnishings and services that are available to exhibitors. Contact information and more details coming soon!

Cross Connect Customs & Event Logistics is the Show's official Transport and Custom's Broker. Please contact them at info@crossconnectcl.com or (416) 639-2176 if you require shipping or transportation. If you are planning to ship crates or items to the show, please be mindful of the following:

  • Calgary Stampede does not accept packages more than 1 day prior to the show. All packages and crates must be prepaid, labeled, and addressed correctly. Please click HERE for details about shipping to Calgary Stampede.
  • The official Show Decorator is able to accept shipping and/or crates should you need to ship them earlier. Details and information coming soon!

 

Shipping Internationally?

Marketplace Events has registered the show with the CBSA Conventions Program so special duty-free and tax-free importation privileges have been granted for the show.  Please contact Cross Connect & Event Logistics if you have any questions or require assistance with clearing your goods into Canada using these special privileges.

SHOW INSURANCE

 

Proof of trade show insurance is mandatory.. Please send a COI to Zoe at zoew@mpeshows.com to keep on file before December 19, 2025. Your provider should be able to do this fairly quickly.

  • Insurance must include exhibitor/vendor or trade show coverage (speak to your provider to see if you are covered for this already, or if you need extra coverage)
  • Move in and move out dates must be included in your coverage
  • Liability coverage should be for a minimum of $2 million
  • We require that we are listed on your policy as additionally insured. Please ensure we are listed as:

EXHIBITOR MOVE IN AND MOVE OUT


The Calgary Home Shows and BMO Centre use Voyage Control to facilitate a smooth move in for exhibitors. Within Voyage Control, you will book a specific date and time to bring your vehicle to the loading apron (please note that vehicles are not allowed on the show floor without prior approval from Show Management, dollies are available to bring items to your booth). If you have not created a profile in Voyage Control before, you will need to do so before booking your time. The Calgary Home Shows will send emails containing booking codes and times approximately 4 weeks before the show. If you did not receive the email, please check your junk folder, or contact your Exhibit Sales Consultant.


“Should I book a move in time even if I only have a few items to unload?”.....Yes! To ensure a smooth and stress-free move in; please book a time at the loading aprons, even if it ‘s just a few items.


Please note, the BMO Centre will not allow access through the front entrance or side doors

 

Move Out Dates and Hours:

Sunday, January 11, 2026     7PM - 10PM

Monday, January 12, 2026     8AM - 12PM 

 

Removal or dismantling of exhibits or exhibit materials is NOT permitted before the closing of the show (6PM on Sunday). Exhibitors may face disciplinary action if found breaking this rule.


You do not need to book a move out time. At 6:01pm, you may start dismantling your booth. After 7 pm, carpets are rolled up and dollies/forklifts etc may be used for your items. To bring your car to the apron, Stampede staff must see that your booth is completely dismantled, once confirmed, you can pull up your vehicle.

 

The halls are considered a construction zone during these hours. Absolutely no children under the age of 14 are permitted on the show floor during this time.




PARKING

Calgary Stampede no longer has parking passes as the City of Calgary now manages the lots. Parking is $18 per day, with the exception of the Remington lot off of 11th Ave SE, which is discounted to $12 per day. Click HERE for the Calgary Parking website.

Low Risk Home Prepared Vendor (must only make low risk food & must make it out of your unpermitted home kitchen). Read more information HERE. Please submit the business name, contact name, phone number, email, and full home address (this is ONLY shared with AHS) to Zoe no later than December 9, 2025.

 

Are you planning to sample your goods? Or perhaps you'd like to offer potential clients a coffee or a treat? Calgary Stampede and AHS require you fill out the forms below and submit no later that December 9, 2025. Please send the Stampede Liquor Sampling Permit Form to eventservices@calgarystampede.com (include zoew@mpeshows.com). Samples are restricted to a 2-ounce liquid portion (maximum) or a toothpick size food portion (maximum). Calgary Exhibition and AHS reserves the right to close any concession not following regulations.
